Business West is a business leadership and support organisation, driving long-term prosperity for businesses and our region. We help individual businesses succeed, and we convene communities, build evidence, and influence change.
Are you an exceptionally organised, proactive professional who enjoys being one step ahead, bringing people together and making things happen? We’re looking for an Executive Assistant to the CEO who can combine high-level executive support with project coordination and a passion for finding smarter ways of working.
This is a pivotal role at the heart of Business West. You’ll help ensure that the CEO’s time is focused on the right priorities, turn meeting decisions into action and coordinate key projects and initiatives that support our business objectives.
What you’ll be doing
- Providing proactive executive support: Managing the CEO’s diary, inbox, travel and meetings, balancing competing priorities and ensuring time is used effectively.
- Driving action and accountability: Capturing meeting decisions, tracking actions and following up with colleagues and stakeholders to ensure deadlines are met.
- Coordinating key projects: Supporting the delivery of corporate policy projects, special activities and British Chambers Accreditation and reporting requirements.
- Supporting Board and committee meetings: Preparing and circulating papers, taking minutes and coordinating actions and responses.
- Working smarter through technology: Using Microsoft 365, CRM systems and AI tools such as Microsoft Copilot and ChatGPT to streamline processes and improve efficiency.
- Building strong relationships: Coordinating correspondence, preparing briefings, maintaining accurate records and providing support to directors, heads of department and associated partnerships.
What we’re looking for
You’ll be an experienced Executive Assistant or Senior Project Coordinator who is comfortable supporting senior leaders in a fast-paced environment. You’ll bring:
- Experience managing a complex diary and inbox for a senior executive.
- Strong project coordination skills, with the ability to track actions, timelines and stakeholders from start to finish.
- Excellent written and verbal communication skills and outstanding attention to detail.
- The ability to prioritise, anticipate needs and take initiative without waiting to be asked.
- Discretion, professionalism and the ability to handle confidential information.
- Confidence using Microsoft Office 365 and a genuine enthusiasm for embracing AI and new digital tools.
Experience of Board or committee administration, company secretarial duties and CRM systems would be an advantage.
Why join us?
This is an opportunity to go beyond traditional executive support and play a meaningful role in how Business West operates and delivers its priorities. You’ll work closely with senior leaders, help move important projects forward and use your initiative and digital skills to make a tangible difference.
If you’re organised, adaptable, solutions-focused and excited by the opportunity to combine executive support with project delivery and modern technology, we’d love to hear from you.
